How Do I Conduct an International Conference Call?

Conducting an international conference call is no different than hosting a local conference call when it comes to setting up the connection. You must only send the international attendees a phone number and pass code, just as you would with a standard conference.

International callers will be given a special number that allows anyone in the world to call you toll free. The number you send will look a little different from what you are used to. The number has a three-digit prefix (001) that sends the call directly to the US or Canadian number that follows it. You will be charged different rates for these calls, depending on the country from which your participants are calling.  Remember,  toll free numbers and other 800 type numbers may not be accessible from overseas, while standard US based phone numbers preceded with a 001 will be. Additionally, many conference calling providers also have local toll free dial in numbers for international participants.  On a case by case basis, this is something that needs to be identified by working with your conference calling provider.

While setting up an international conference is simple, keep a few things in mind when you conduct an international conference call. Attendees will be located in different time zones, live in different cultures and probably know English only as a second language.

Time Zones

Check time zones and choose a time convenient for your attendees whenever possible. You can find time zones easily through a Web search. Once you arrange for the time, know that you should be ready and set up at least five minutes beforehand. This prevents fumbling ensures you are there when you told attendees you would be. It is a matter of politeness and professionalism.

Different Cultures

Good etiquette in business is not the same in the US as it is in other countries. You can make a strong positive impression in the minds of callers by doing some research in advance.

Be careful of slang and jokes during your presentation. Jokes do not translate well and can offend rather than amuse. In some cases, they only serve to confuse. Either way, it is not helpful for your participants who may be struggling just to understand you in the first place.

Help Attendees Understand You

Because most international attendees speak English only as a second language, it will help if you email your presentation materials ahead of time. This gives them time to review and grasp the material before the call. This will also make the meeting more productive because participants have time to absorb the material and formulate questions.

Americans tend to speak at a hurried pace, especially in business where time is money. Enunciate every word and speak clearly to make your words easier for others to understand.  Take an occasional moment to ask your participants if they understand the material.
